This page says what happens to your details when you get in touch with Give Us a Bell, whether you ring our receptionist Anna, message her by text, WhatsApp or the chat on this site, or fill in the enquiry form. It is written in plain words because that is how we would want it explained to us.
Give Us a Bell is a trading name, not yet a limited company. The person responsible for how your details are handled is Anthony Brawley, and you can reach him at hello@giveusabell.co.uk.
When you ring Anna
Calls are recorded, and she tells you so at the start of the call. We record them for quality, for finding faults in how she handles a call, and as a record of what was agreed. She takes your name, your number and what you are calling about, and if you book an appointment, the details of that too. Those go to us so we can get back to you, and to the services listed below that carry them.
The recording is kept for thirty days and then deleted. That includes any copy we have downloaded to look into a fault.
Texts, WhatsApp and web chat
If you message Anna instead of ringing, the same applies. Your messages and the details she takes are used to deal with your enquiry. Enquiry records are kept while your enquiry is open and for thirteen months after it closes, then cleared. Messages sit in the logs of the texting service we use until we delete them, and we delete them when you ask.
The enquiry form
The form asks for your name, your number, what we could help with, and your email if you want to give it. We use those details to reply to you and for nothing else. While you type, your browser keeps a draft of the form in that tab only, so a refresh does not lose it. The draft never leaves your device, and it is deleted when you send the enquiry or close the tab.
The services a call passes through
Answering a call or a message puts your voice or your words through the services below. Most of them are in the United States, and our email provider keeps its mail in the EU. We use these ten and no others.
- Vapi runs the call or the conversation itself and holds the recording.
- Deepgram turns what you say into text, live, during the call.
- OpenAI is the language model that decides what Anna says.
- Microsoft Azure turns her replies into speech.
- Daily.co carries the sound when you call Anna from this website.
- Netlify hosts the service and holds enquiry records and messages.
- Cal.com holds the appointment diary.
- Twilio carries texts, WhatsApp and Messenger messages, and sends confirmation and reminder texts.
- Meta runs WhatsApp, Messenger and Facebook, so anything you send through them passes through Meta as well.
- Zoho holds our email, including the alerts about your enquiry.
Things she will not file
Anna does not set out to collect health, religious or other sensitive information. If you mention something like that, she does not repeat it, does not file it, and does not pass it on beyond what is needed to get you to a person.
Having your details removed
Ask Anna on the call, or email hello@giveusabell.co.uk. Within seven days we remove your records from the enquiry log, the recording, the message logs and the diary if the appointment has not happened yet. You can also ask what we hold about you, or ask for it to be corrected. If you text STOP, we keep your number for twelve months so we don’t text you again, even if you ask us to delete your other details.
If something goes wrong
If one of those services or our own systems is breached in a way that puts your details at risk, we tell the people affected as soon as we know, and the Information Commissioner within seventy-two hours where the law requires it. If you are unhappy with how we have handled your details, you can complain to the Information Commissioner’s Office at ico.org.uk.
